Administrative Assistant cover letter example

A cover letter for an executive assistant applying to an architecture firm. It shows how she anticipates work and saves money, not just that she is organised.

Why this letter works

  1. Shows the support level

Three executives across time zones tells the reader what she can handle.

  2. Initiative with results

Lower supplier costs and events under budget prove she does more than follow instructions.

  3. A line about how she works

The filing system example shows her approach in one sentence.

Paragraph by paragraph

What each paragraph does in the letter, with a short tip for that part.

  1. Opening

I would like to apply for the Executive Assistant position supporting your Managing Partner. For more than six years I have supported senior leaders, most recently three executives at Northline Engineering, managing their calendars, travel and meetings across several time zones.

Name the role and say in one or two sentences why you are a strong match. Skip "I am writing to apply for…": the reader already knows.

  2. Why this company

A busy firm needs an assistant who keeps things moving without being asked. That is the part of the job I enjoy most: noticing what is coming and having it ready.

Show you know who you are writing to: a product, a project, a value or a recent step of theirs, and why it matters to you. One specific detail beats three general compliments.

  3. Evidence

    At Northline Engineering I:

    • organize more than 25 events and offsites a year, keeping costs 10% under budget
    • renegotiated contracts with office suppliers, reducing annual office costs by 15%
    • prepare reports, presentations and minutes for leadership meetings

Pick one or two achievements that match the ad and tell them briefly: the situation, what you did and the result. Do not repeat your whole resume.

  4. Evidence

At Cedar Dental Group I set up a digital filing system that cut document search time by 50%. It taught me that a good system saves more time than simply working faster.

  5. Closing

Thank you for your time. I would be glad to talk about how I could support your partners.

Thank the reader, say you would welcome an interview and mention when you are available. Keep it short and confident; no need to apologise or beg.

Tips for administrative assistant cover letters

  • Executives want to know you can handle their schedule without supervision; say how many people and how complex.
  • One result in money or time saved makes “organised” believable.
